Course Outline:
AP 101: Fundamentals of Invoice Processing – Learn the basic concepts and best practices for invoice handling, matching, exceptions, coding and approvals. Also, how to handle “orphan” invoices, invoices without numbers, short paying, and how best to use vendor statements. Plus, how to spot erroneous invoices that lead to duplicate payments.
AP 102: Fundamentals of Payment Processing – Want to streamline your check processing? Eliminate rush checks? Covert vendors to taking electronic payments? This session will reveal how AP departments are doing all of this – plus learn about the different varieties of P-cards, ACH payments, and best practices for check signing and printing.
AP 103: Intermediate: AP Internal Controls to Prevent Fraud – When the economy goes down, fraud goes up. Luckily, good basic internal controls will stop AP related fraud. This session will cover the general concepts of internal control over the disbursement process, including invoice and payment fraud, expense report abuse, protecting the vendor master file, segregation of duties, and audit tips. Also, what you need to know about the Sarbanes-Oxley Act.
AP 201: Intermediate: Controlling T&E Reimbursements – AP departments can make a real impact by focusing on employee reimbursements. That’s because they are the second most controllable expense (after salaries) at most companies. Learn about T&E policy administration, processing strategies, automation issues, travel cards, spend analysis, and audits. Also, because the IRS has been cracking down on T&E noncompliance, the tax rules and requirements will be covered.
AP 202: Intermediate: Managing the Master Vendor File – An out-of-shape master vendor file that’s bloated with duplicate payments or inactive vendors, different addresses, and incomplete data can trigger all kinds of headaches – such as fraud, duplicate payments, and trouble from the IRS. This session will present best practices in cleaning up and maintaining your master vendor file – which is the foundation of the entire AP and payment system.
AP 203: AP Automation – There is a confusing array of new technology tools available to automate the AP process. This session will sort all this out and give an overview of how AP departments are using various technologies to improve efficiency and productivity. Solutions covered include: invoice imaging and scanning, electronic invoicing, automated workflow, invoice data extraction tools, automated T&E, and more.
AP 301: Advanced Contemporary Issues: Tax and Regulatory Issues – Cash starved federal and state governments are on the warpath – and your AP department is smack dab in the middle of the fray. 1099 penalties, sales and use tax liabilities, unclaimed property not reported – all represent much needed money for the government. The states are even hiring bounty hunters to find money they think you owe. This advanced level session explains how to comply with some of the more complex issues confronting AP including: Form 1099 and TIN matching, Form 1042-S, escheatment, sales & use tax, value-added tax, tax rules for T&E reimbursements, OFAC and the Sarbanes-Oxley Act.
AP 302: Advanced AP: Management Issues – If you’re an AP manager or supervisor, you know that 90 percent of your time can be spent dealing with people issues. This advanced session will cover key leadership skills, handling difficult employees and vendors, managing productivity, dealing with change, setting goals, and rewarding achievement. Also covered will be AP process improvement using techniques such as benchmarking.
